Using Yordas Hive to create and populate substance scorecards

Challenge

The client required a timely and cost-effective solution to automate the population and monitoring of their regulatory scorecards, which are used to evaluate the health and environmental risks of substances used during the development of their products. Using a colour coding system, the scorecards help to forecast the hazards, regulatory status, and stakeholder concerns for substances critical to their business, whilst building confidence in the future use of low-risk substances.

Our Solution

Addressing our client’s challenge required a three-step solution:

Step 1: Establish a list of relevant regulations

The development of the client’s scorecards is based on regulatory information established by multiple chemical regulations, and using Hive, Yordas and the client worked together to agree upon an appropriate list of regulations of interest. These included EU and US regulations, in addition to other governmental and non-governmental substance lists.

Step 2: Define categories for substances

Next, we needed to define the conditions that would categorise substances as ‘red’, ‘yellow’, or ‘green’ against each regulation, with ‘red’ denoting a high business risk, ‘yellow’ a medium business risk, and ‘green’ a low business risk.

Step 3: Generating scorecards

Once the conditions had been defined, we used a semi-automated methodology to generate and populate scorecards for all substances of interest. This required the creation of a scorecard generator with the following functions:

  • Automatic generation of scorecards in an Excel format for each substance of interest according to an agreed-upon template

  • Populating each scorecard with the regulatory information as it appeared in the Yordas Hive Substance Database for each regulation of interest

  • For cases where the regulatory information in Hive did not provide sufficient detail, the generator highlighted the scorecards requiring additional manual input

Project End: Ongoing Monitoring

Using Hive Notifier, our team is able to monitor regulatory changes on behalf of the client, and send updated scorecards whenever these changes impact the colour coding of a scorecard. These changes then inform the client of any immediate or upcoming business risks in relation to hazardous substances in their products, which in turn informs decisions to be made around timelines for substitution.

Benefits for the Client

Overall, Yordas Group’s solution has provided a method of efficiently populating regulatory scorecards with accurate regulatory information, in addition to a monitoring service that provides the client with the confidence that crucial regulatory updates are being accounted for. This has helped the client in their goal of moving towards a portfolio of products based around the use of low-risk substances.
